6 things to look for in a Hospital Employee Health and Safety Management system

According to the Bureau of Labor Statistics “Each year more full time employee days are lost in health care than in industries such as mining, manufacturing and construction and the incidence rates of hospitals is also higher.”

This could be surprising as one might think that none of the hardcore things seen in mining or manufacturing happen in hospitals. But, hospitals are one of the most susceptible places for work related injuries and occupational health disorders.

The demands of the hospital work place are such that sometimes employees put their patients above themselves and hence are prone to various kinds of injuries.

For example, when a patient suddenly begins to feel unconscious, the accompanying staff would go out of their way to hold the patient and prevent the fall, which sometimes might result in a musculoskeletal injury of the employee and results in loss of days at work and sometimes disabilities requiring long period of recovery.

Here are the six things to look for in a Hospital health and safety management platform, that will not just manage incidents and injuries when they happen, but also ensure preventing them.

1.Interactive Digital platform

Make sure the system is cloud based, interactive digital platform that can send automatic messages and mailers to hundreds of people every day. This is an important feature to look for. When an incident happens and after the investigation is done and closed, the system must be able to send automatic messages to all the hospital staff alerting them to be more vigilant of their work and safety.

Rather than making a new rule out of the learnings from the incident that people are not aware of, it would be more fruitful if the staff are informed about the details of the incident right after. Let’s suppose, a technician had sustained a fall due to slippery wet floor as he ignored the wet board sign whilst rushing in for an emergency.

The hospital authorities then came up with a rule that only one side of the floor should be cleaned at a time, leaving the remaining part of the floor dry. If all the workers are just informed about the rule, they would not understand its significance. But, if they are updated about the incident which prompted the need for making a rule, they would be warier of themselves getting into such situations. So, choose a system that can reduce the work load of informing every one of the happenings manually.

2.Report Generation

Other than generating numbers about the total number of incidents, a health and safety management platform must be able to generate various analytic reports that would help the hospital authorities understand which area needs more focus for workplace injury prevention.

For instance, needle stick injuries are one of the common type of injuries in hospitals and if it can accurately point out in which department or area these injuries happen the most then, appropriate measures can be taken for future prevention.

If most of the needle stick injuries are happening in the pediatric department as children 9 out of 10 do not stay still while the needle is getting in, hospital authorities can then come up with prevention measures such as making it mandatory for the child’s parents to hold the child when being injected. Such measures are only possible when an accurate reporting system is in place for comprehensive review.

3.Incident investigation

When an incident happens, investigating it thoroughly and completely is quintessential to narrow down the causative factors that led to the event. Make sure the software you are looking for has the capabilities to capture all the required data along with eyewitnesses, onlookers and observer’s testimonials in an unbiased manner.

Interviews of the involved personnel and other investigation related surveys must be done in no time and the system needs to be accessible by all at the same time without requiring to enter and re-enter data several times. This saves a lot of time and effort which is more often than not, crucial in a health care setting.

4.Document Management

Employee demographic data along with their medical, travel, social, previous workplace injury history and insurance carrier info has to be recorded and stored in discretion and also be updated regularly.

An ideal platform must have an employee portal where any kind of new information regarding their work and health like newly diagnosed Diabetes, Hypertension and recent travel to West Africa …etc. can be recorded. Such information is important and can help the hospital authorities determine their worker’s functional ability and be aware of any kind of extra precautions that need to be taken.

Document Management module of the platform must be able to manage vast volumes of data and schedule employee training, alert them on exceeding limits of radiation exposure and their vaccination. Along with this, previous incident and investigation reports must be stored on the system and be retrieved anytime by appropriate personnel.

5.Absence Management

You don’t want your best employees to be injured and if they are, you want them to return to work soon. Tracking absent days and ensuring the employees return to work on time can make a huge difference in cutting down worker’s compensation costs and also employee welfare. So, its definitely important to look for a platform that can track absences, injuries and the days lost.

6.Customized Access

Along with having a modern, digital and cloud based platform, one needs to be wary of any kind of inefficiencies that might lead to a compromise in quality, compliance and integrity of the data. Even if multiple people are allowed to access it at various entry points, everything must not visible for everyone. An employee should not have accessibility to other employee records, and the employee records, that contain important information cannot be accessed by anyone other than the authorized personnel.
